We invite applications from suitably qualified and experienced people for this permanent position in the Properties and Services Department, for appointments as soon as possible.

 

As a Senior Conference Coordinator, you will play a pivotal role in planning, organizing, and executing successful conferences. Your responsibilities will include ensuring that events are well-planned, executed flawlessly, and deliver exceptional experiences for attendees.

 

Requirements for the post:

  • An NQF5 level qualification in either Events Management or Tavel & Tourism Management
  • A minimum of 4 years of recent and relevant Conference Management experience at the level sought for this post.
  • Experience and knowledge of the Meeting Incentives Conferencing and Exhibitions (MICE) industry
  • Proven event management experience
  • Impressive portfolio of previously managed larger events up to 1000 pax
  • Valid driver’s license with own vehicle
  • Excellent time management and communication skills
  • Ability to build productive business relationships
  • Ability to manage multiple projects independently
  • MS Office proficiency
  • Previous Events Management software experience
  • Website design experience

 

Responsibilities:

 

Events planning

  • Build and maintain strong relationships with clients, understanding their needs and exceeding expectations.
  • Prepare detailed proposals for conferences, including event concepts, budgets, and deliverables
  • Create and manage event budgets, ensuring cost-effective planning and execution
  • Negotiate contracts with vendors, suppliers, and speakers to secure favourable terms

 

Event production and management

  • Identify and select suitable venues based on event requirements and client preferences
  • Manage relationships with suppliers, ensuring timely delivery of services and adherence to contracts
  • Recruit, train, and supervise event staff, delegating tasks and providing guidance.
  • Ensure compliance with all relevant regulations, permits, and safety standards.
  • Plan and execute event logistics, including transportation, accommodation, and technical requirements
  • Oversee all aspects of event day operations, ensuring a smooth and successful experience.

 

Reporting

  • Prepare comprehensive event reports, including financial summaries, attendance figures, and feedback analysis.

 

Customer service:

  • Gather and analyze feedback from attendees and clients to identify areas for improvement.
  • Manage delegate registration, enquiries, and on-site needs.
  • Ensure high levels of customer satisfaction by addressing concerns promptly and providing excellent service

 

  • Administration:
  • Track and manage event finances, including budgeting, invoicing, and payments.
  • Prepare financial reports and other administrative documentation as required.

 

The annual cost of employment, including benefits, is negotiable between R491 709 and R 578 479 per annum.
