UCT's Communication and Marketing Department (CMD) invites applications for a competent, experienced Administrative Assistant to provide efficient administrative support and contribute to the department's effective functioning in a high-pressure environment.
- To provide comprehensive administrative support to all units within the Communication and Marketing department, including all HR & Finance-related administrative tasks.
- The role also involves delivering efficient projects and event administrative assistance across the department as needed.
- Provide high-quality, organised, and efficient support to all levels of management, executive leadership, and the finance department.
- To maintain an accurate and up-to-date department asset registry.
- To accurately and diligently service departmental meetings by providing administrative support, e.g., preparing agendas, meeting scheduling, meeting minutes, etc.
- Provide general front of office, receptionist, and administrative support to the Communication and Marketing department.
- As and when required, support, complete the work of, and act on behalf of any other member of the unit with the line manager and/or with the agreement of the CMD Executive.
- Offer operational support on an as-needed basis, including handling courier requirements, procuring goods, and attending to other departmental needs.
Requirements for the position:
- Grade 12 or NQF4 equivalent.
- 2 – 4 years related and relevant administration work experience.
- Computer Literacy - intermediary to expert level (Internet, Ms Office Suite, spreadsheet, email/Outlook.
- Demonstrated knowledge and experience working with Ms Teams, Database/CMS, Adobe and other relevant applications).
- Advanced Typing skills.
- Excellent administrative skills, information & resource management including planning, organizing skills and effective time management.
- The ability to work independently and under pressure.
- Excellent communication & interpersonal skills.
- Adaptability, teamwork & collaboration.
The following will be advantageous:
- Departmental knowledge as well as marketing and communication experience.
Responsibilities include (please refer to the detailed job description for more information):
- Departmental administration, including reception duties, HR and Finance administrative tasks.
- Regularly supports the execution of delegated work and provides assistance where required.
- Demonstrates initiative to efficiently complete tasks and address or escalate relevant queries as needed.
- Able to work independently while operating under appropriate supervision.
- Perform tasks delegated by the Office Coordinator, with additional responsibilities assigned as needed by CMD Management/Executive.
- Manages own workload, daily priorities, task scheduling, and time effectively.
- Decisions related to budget expenditure only where delegated.
- Executes routine decisions within defined responsibilities, as assigned.
- Seeks further input or guidance for decisions requiring additional expertise or where escalation is necessary.
- Refers decisions that require management approval or that may present potential risk to the organisation.

The 2026 annual cost of employment, including benefits, is between R408 664 and R480 782.
